When you create a Scoutiv account, we collect your name, email address, and a bcrypt-hashed password. We never store your plaintext password. We never have access to your password after it is created.
When you connect a sender account to Scoutiv, we store the authorization or connection data needed to provide the features you enable. Depending on the account type, this may include encrypted provider authorizations, encrypted SMTP or inbox connection credentials, sender email address, display name, connection status, and sync timestamps. We store the email campaign content you create โ including subject lines, email body templates, and personalization variables. We store the recipient lists you upload, including email addresses and any custom fields you include. We store send logs, delivery status, open events, click events, reply thread IDs, and unsubscribe events associated with your campaigns.
Email addresses that have unsubscribed from your campaigns are stored permanently in your suppression list. This data is retained indefinitely to ensure we never send to a suppressed address, which is both a legal requirement and a best practice for sender reputation.
We collect standard server logs including IP addresses, browser type, pages visited, and timestamps. This data is used to maintain platform security, diagnose technical issues, and improve the platform. We do not sell this data.
Scoutiv uses connected sender account data only for the product features requested by the user. This means:
When you enable reply tracking, Scoutiv uses your connected account configuration to fetch inbound replies and received messages into the Unified Inbox. This lets you read, organize, and respond to replies without switching between multiple inboxes.
Reply tracking data is used solely to provide inbox, reply detection, campaign analytics, and follow-up stopping features. Reply content is never shared with third parties, never used for advertising, and never used to train machine learning models.
Where Scoutiv receives information from Google account connections, our use and transfer of that information complies with the Google API Services User Data Policy, including the Limited Use requirements.

We retain your account data for as long as your account is active. If you delete your account, we retain your data for 30 days in secure backup storage before permanent deletion, to allow for recovery in the event of accidental deletion. After 30 days, all personal data is permanently deleted from our systems.
Suppression lists are retained indefinitely even after account deletion, as they are required for ongoing compliance with unsubscribe requests. The data retained in suppression lists is limited to email addresses only.
Server logs are retained for up to 90 days and then deleted.
